The purpose of the project

We were invited to deliver a modern e-enabled web-based system that was straightforward to use for requisitioners, with integrated workflow processes and embedded controls that would help to drive purchasing behaviours and compliance​.

What we did

We were engaged to manage the second-phase of the project with the roll out of the procurement system to specific departments. This phase of the project brought with it a number of unknowns due to the volume and complexity of the supply chain. The analysis focused on the key benefits that could be achieved by implementing the system:

Management efficiency – Workflow authorisation to reduce management review time, automated three-way matching to reduce volume of authorisations needed for processing unmatched or un-receipted invoices.  ​
Purchasing power efficiencies – Spend consolidation and compliance efficiencies – workflows and catalogues to improve the control over what people would buy.  ​
Corporate contracts – These were mandated via online catalogues.  ​
Budgeting – All invoices needed to have matching purchase orders to ensure all spend was managed and booked to the correct object accounts.  ​

The outcome

This project was completed on time and on budget.
