The purpose of the project
We were invited to deliver a modern e-enabled web-based system that was straightforward to use for requisitioners, with integrated workflow processes and embedded controls that would help to drive purchasing behaviours and compliance.
What we did
We were engaged to manage the second-phase of the project with the roll out of the procurement system to specific departments. This phase of the project brought with it a number of unknowns due to the volume and complexity of the supply chain. The analysis focused on the key benefits that could be achieved by implementing the system:
Management efficiency – Workflow authorisation to reduce management review time, automated three-way matching to reduce volume of authorisations needed for processing unmatched or un-receipted invoices.
Purchasing power efficiencies – Spend consolidation and compliance efficiencies – workflows and catalogues to improve the control over what people would buy.
Corporate contracts – These were mandated via online catalogues.
Budgeting – All invoices needed to have matching purchase orders to ensure all spend was managed and booked to the correct object accounts.
The outcome
This project was completed on time and on budget.
